Privacy Policy
This Privacy Policy explains how Workingfox LLC (“WorkingFox,” “we,” “us”) collects, uses and shares information when you visit workingfox.com, use our Google Forms add-on Workingfox Widgets, or use our other software services (together, the “Services”).
1. Information we collect
When you visit our website
- Information you send us, such as your name, email address and message when you email us.
- Technical information such as IP address, browser type and pages requested. Our hosting provider, Cloudflare, processes this to deliver the site and protect it from abuse. We do not use advertising or analytics cookies on this website.
When you use Workingfox Widgets
Workingfox Widgets runs inside your Google account as a Google Workspace add-on. It asks for the following Google permissions and uses each only as described:

What stays in your Google account. Form responses, the content of the messages you send, and your workflow settings. Workflow settings are stored with the form itself, using Google’s storage for add-ons.
What our servers receive. To provide plans, usage limits, delivery history and alerts, the add-on sends our servers:
- your Google account email address and Google account ID;
- IDs of the forms where the add-on is installed, and whether its trigger is working;
- the add-on version and your remaining daily email quota;
- delivery records: the channel, status, error codes, the number of recipients, and a redacted form of each recipient address (for example,
a***@example.com); - daily counts of emails sent, and your plan and license information.
Our servers never receive form answers or message bodies.
When you buy a subscription
Payments are processed by Stripe, which acts as the merchant of record and collects your payment details, billing address and applicable taxes under Stripe’s Privacy Policy. We receive your Stripe customer ID, subscription status, plan, amounts and invoice status. We never receive your full card number.
Our other services
For membership, queueing, and coaching or class management software that we build or operate for a business, we process member and customer information on that business’s behalf and follow its instructions, as set out in our agreement with it. If you are a member or customer of one of these businesses, please contact that business about your information. We will help it respond.
2. How we use information
- To provide, run and support the Services, including sending the notifications you configure.
- To apply plan limits, prevent abuse, and keep the Services secure and reliable.
- To process payments and manage subscriptions.
- To contact you about your account, such as delivery failures, billing and important changes.
- To comply with the law.
3. Google user data
Workingfox Widgets’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we:
- use Google user data only to provide and improve the features you use in the add-on;
- do not sell Google user data, or use or transfer it for advertising;
- do not use Google user data to train artificial intelligence or machine learning models;
- do not allow people to read Google user data, except with your permission (for example, when you ask for support), for security purposes, or to comply with the law.
4. How we share information
We don’t sell personal information, and we don’t share it for cross-context behavioral advertising. We share information only:
- With service providers that help us run the Services under confidentiality and data-protection obligations: Google Cloud (hosting and databases), Stripe (payments and tax), Cloudflare (website hosting and security), and our email delivery provider (account and service emails).
- With the destinations you choose. The emails, Slack, Google Chat, Discord and webhook messages you configure are delivered to the recipients and services you specify, under those services’ own terms.
- For legal reasons, when required by law or to protect the rights, safety and security of our users, the public or WorkingFox.
- In a business transfer, such as a merger or acquisition, subject to this policy.
5. How long we keep information
- Delivery history: 7 days on the Free plan, 30 days on Pro and 90 days on Business. After that it is deleted automatically.
- Account, license and billing records: kept while your account is active. When you ask us to delete your account, we delete these records within 30 days, except records we must keep for tax, accounting or legal reasons.
- Data in your Google account (form responses, workflow settings, PDF copies in your Drive) is under your control and stays there until you delete it.
6. Security
We encrypt data in transit, store license keys only in hashed form, limit access to the people who need it, and design the add-on so that response data never leaves Google. No system is perfectly secure, but we work to protect your information and will notify you of a breach as required by law.
7. Your choices and rights
- Access, correction and deletion: email us at bouncer@workingfox.com and we will respond within 30 days. Depending on where you live (for example, California or the European Economic Area), you may have additional rights, and we honor them as the law requires. We will not discriminate against you for exercising them.
- Revoke Google access: uninstall the add-on or remove it at myaccount.google.com/permissions. This stops the add-on from accessing your Google data.
- Emails from us: you can opt out of marketing emails at any time. We will still send essential account and billing messages.
8. Children
The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
9. International users
WorkingFox is based in the United States, and information is processed and stored in the United States. By using the Services, you understand that your information will be transferred to the United States.
10. Changes to this policy
We may update this policy from time to time. We will post the new version here with a new effective date and, for significant changes, notify you by email or in the add-on before they take effect.
